Responsibilities
As Receptionist your main tasks and responsibilities will be:
• Greeting and Assisting Visitors:
Welcome guests, clients, and staff with a positive and professional demeanor. Provide directions and assist visitors with sign-in procedures.
• Phone and Email Management:
Answer incoming calls, direct them to the appropriate department, or take messages. Handle general email inquiries and forward them to relevant personnel.
• Scheduling and Appointments:
Schedule appointments, meetings, and conference room bookings. Ensure proper coordination of calendars and availability.
• Administrative Support:
Perform various clerical duties, such as filing, data entry, maintaining office supplies, and preparing documents for meetings.
• Maintaining Reception Area:
Keep the reception area organized, clean, and welcoming for visitors and staff. Ensure that the office environment is presentable and efficient.
• Handling Mail and Deliveries:
Receive, sort, and distribute mail and packages. Ensure timely delivery to the appropriate recipients.
• Record Keeping:
Maintain and update guest logs, schedules, and office inventories.
